We are seeking to recruit an Executive Assistant who will play a pivotal role in supporting the CEO and the Board of Directors of our client company by managing schedules, handling bookkeeping responsibilities, coordinating travel arrangements, and providing administrative assistance. You’ll serve as the primary point of contact between the Board, executive leadership, and various stakeholders, providing administrative assistance and facilitating board meetings and related activities.

Role Description and Responsibilities

Executive & Calendar Support
● Manage and maintain the CEO’s calendar, including scheduling and confirming internal and external meetings
● Proactively identify and resolve scheduling conflicts and prioritize calendar requests
● Prepare agendas, take meeting notes, and track follow-up action items on behalf of the CEO
● Screen and manage incoming communications, escalating urgent items as appropriate

Meeting Coordination
● Schedule and coordinate virtual and in-person meetings across multiple time zones
● Send calendar invites, prepare meeting materials, and distribute pre-read documents
● Coordinate logistics for board meetings, team calls, and stakeholder engagements

Grant Research & Support
● Research and identify grant opportunities aligned with organizational priorities and program goals
● Compile and summarize grant eligibility requirements, deadlines, and application guidelines
● Maintain a grant calendar and tracking database to monitor submission deadlines and reporting requirements
● Assist with the preparation and formatting of grant applications and supporting documentation

Financial
● Assist in basic accounting tasks to support financial reporting needs
● Order and manage supplies, marketing materials, and food for students in our program in a timely and cost-effective manner
● Track inventory levels and proactively reorder items as needed
● Obtain competitive pricing, manage vendor relationships, and process purchase approvals
● Maintain organized records of all purchases and expenditures

Travel Coordination
● Arrange comprehensive travel logistics for the CEO and staff, including flights, hotels, ground transportation, and itineraries
● Research travel options to optimize cost and convenience while adhering to organizational travel policies
● Prepare and submit expense reports and ensure timely reimbursement processing

General Administrative Duties
● Maintain organized digital filing systems, records, and databases
● Draft, proofread, and send professional correspondence and reports
● Support special projects and organizational initiatives as assigned
● Perform other administrative tasks as needed to support program operations and the board

 

Working Experience and Education Requirements:

● Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field
● Minimum of 2+ years of experience in an administrative or executive assistant role experience
● High school diploma required
● Prior experience in report writing, data analysis, and executive-level support.
● Experience supporting nonprofit organizations or educational programs
● Familiarity with grant research tools (e.g., Foundation Directory, Candid, GrantStation)
● Experience with project management platforms such as Asana, Trello, or Monday.com

 

Knowledge, Skills, and Abilities:

● Exceptional organizational and time-management skills, with the ability to handle multiple priorities and deadlines effectively.
● Excellent communication and interpersonal abilities, demonstrating professionalism and discretion in handling sensitive information.
● Proficiency in bookkeeping, financial record keeping, or basic accounting principles.
● Ability to work independently, handle sensitive information, and adapt to dynamic work environments.
● Proficiency in MS Office Suite and other relevant software for document preparation and meeting management.
● Proficiency with virtual collaboration tools such as Google Workspace, Microsoft Office 365, Zoom
● Experience coordinating travel logistics and managing calendars for senior executives
● Knowledge of nonprofit governance practices and board administration is highly desirable.
● High level of discretion and confidentiality in handling sensitive information
